The "Cash Flow System" is simple to use and has been designed specifically to minimise the cost of recovery, it gives the creditor control over the degree of urgency and pressure applied by the users own internal collection department or by Ringrose Credit Control.
This is achieved with our easy to understand step by step "Cash Flow System", supplied for the user convenience in either hard copy book form or computer software format.
The service and information provided within the Cash Flow System is unique and extensive, the following are of particular interest and are utilised the most. The products described below form the basis of the system.
Circular
Letters
Circular Letters are designed to introduce a third
party (Ringrose Credit Control) prior to the debtors' accounts becoming delinquent.
Because Circular Letters are designed as a general circular, it is unlikely to offend even
the oldest of customers. However, its desired effect is to let your customers know you
intend to be paid promptly and you have the facility of Ringrose Credit Control at your
disposal should the need arise.

Applications
Our Credit Application combines formality and
simplicity in meeting the requirements for credit applicants to be Companies, Partnerships
or Sole Traders. In addition to general information, the form contains provisions for
interest on delinquent accounts, retention of title on goods supplied, directors personal
guarantees and Privacy Act consent clauses.
Cash Flow Letters of demand
Approximately 10% of credit customers are slow
payers, potentially bad debts, so a need exists for a tactful means of extracting your
money early while keeping good business relationships. When trading terms have been
exceeded, the Cash Flow System provides three cycle billing letters with variable degrees
of severity. These letter generally recover 90% of slow money by the introduction of a
third party Ringrose Credit Control and a prompt reminder that the account needs to be
paid. This service is very cost effective and is completely controlled from your office.
Prompt Pay Letters of demand
A series of three demand letters with varying
degrees of severity designed to enhance your cash flow by constantly prompting your
debtors to pay. We act on your instructions and the letters are sent automatically by our
office on pre determined dates, we advise you when the last letter in the series is sent.
If satisfactory results are not achieved, the fee applicable for this service earns you a
credit and can be used to purchase additional Prompt Pay Letters. This means you only pay
for results, it is not a case of putting good money after bad.
Reminder Letters of demand
Two letter series designed to enhance cash flow,
being non-aggressive they inform your debtor of the involvement of a third party Account
Management Service. We act on your instructions and the letters are sent 21 days apart,
they deliver a clear demand message in a polite way. If no payment is received and the
account is within our guidelines, no fee is applicable for this service.
Letter
of Demand
These letters are a direct and firm request for
payment pointing out that legal action has been authorised. They also state that legal
costs are to be borne by the debtor and, upon obtaining Judgment, either of the following
courses of action will be taken: - Warrant of Execution on either personal or real
property, Oral Examination, Garnishee of Wages or Contracts, Bankruptcy proceedings or
Liquidation. We act on your instructions and a confirmation letter is sent to you when the
Letter of Demand is forwarded to your debtor.
Verbal
Demand
Our trained telephone collectors will contact your
debtor from information supplied by you. Our goals are to correctly identify the debtor
and confirm address particulars. The first objective is to obtain payment in full. If full
payment can not be achieved, then the best possible payment arrangements are the next
objective.
Commission Payable Option
No commission is payable on any account if your
Annual Subscription is current when a payment is received by our office and providing you
have not taken the Commission Payable Option. Any account can be transferred to the
Commission Payable Option at any time with your written approval, however once taken it
can not be returned to a non commission basis. This option allows for a more intensive
collection procedure where trained telephone collectors contact your debtor at no
additional cost to you. This is particularly useful for debtors who require constant
prompting for payments, this option also allows us to follow up debtors without constant
reference to you.
Subsidised Litigation Service
As a Subscriber, you may wish to take advantage of
this additional service. If all else fails and the account warrant further action,
litigation may become necessary. You will have at your disposal an efficient and cost
saving legal service. The cost applicable are those which the court normally allow as
recoverable from the debtor. We subsidise a proportion of the solicitor fee and look to
recover the balance only when a payment is received from the debtor.
Status
Reports
Reports on your debtors can be generated by our
computer and forwarded to you on request. There is no fee for this service. They are not
sent automatically as you are kept updated by acknowledgment letters, you can request them
by contacting our office. Those of you who choose the Computer Software Package also
maintain an individual file on a debtor's history, this can be viewed or printed in a
report format.
